QA/Technical Section Menu-Click "Open a new Complaint"

Complaint entry form. A unique complaint ref number will be allocated to the new complaint.

Adding a new customer or linking an existing customer to the complaint - click on the "Customer unique ref field". If a matching record exists, the browser will point to the relevant record.

To add a new customer, click on “Add new entry to list” link. The customer details entry form will be displayed. Enter details, click "save" & "go back to menu"

To enter Product and Incident details go to "Product + Incident details" tab. To link product details to the complaint, click on the “Product description” field.

Existing product details will be displayed. If product does not exist, add by clicking on "add a new entry to list".

How to enter a new complaint.

To enter Production Unit click on "Production Unit" field. If product record exists units will be displayed, if record does not exist, add by clicking on "add a new entry to list".

To enter Retailer, click on "Retailer" field. Existing Retailers will be displayed, if record does not exist, add it by clicking on "add a new entry to list".

To enter Risk Rating click on "Risk Rating" field. Existing Risk Ratings will be displayed, if record does not exist, add it by clicking on "add a new entry to list".

To enter Complaint type and category, click on "Complaint type" field. Existing Complaint type will be displayed, if record does not exist, add it by clicking on "add a new entry to list".

To send notifications by email or corrective action notifications you can click on the following fields: •Notify •Ca Notify

To enter Complaint resolution go to "Resolution" tab. To enter "Voucher type" go to Voucher type field. Existing Voucher types will be displayed, if record does not exist, add by clicking on "add a new entry to list".

To attach a photo to the Complaint details go to |Photos" tab. Click on the icon displayed on the right hand side of the field. Then select the location where the picture is saved, and select the picture file.

To generate and save formatted letters to customers go to "Documents" tab. A series of generic letter templates are already built in the system. To use any of them click on the relevant button i.e. “Generate Initial Letter”

A PDF file is created and saved merging information from the system with a standard text. This file is saved inside the “Archive” subfolder. To link this PDF file to the complaint, click on file icon, go to Archive folder and select the PDF file that has just been generated..

To view a linked letter just click on the "open file" button located on the right side of the field.

Before you can log emails, you need to enter your email account settings so Innovate CIMS can download your emails, to do this click on “Email Settings”.

Email settings dialog box will be displayed. Enter your email account settings, the same as your default email programme, such as Outlook.

Once your email settings are done, you can now read/write emails by clicking on the "Read E-mail" button. The email inbox will be displayed. To download your emails you will need to go to the "Actions" icon.

Once you click on the actions button a dialogue is displayed, just click on "run now".

When "Run now" is clicked, another dialogue is displayed, so you can select emails to be downloaded. Select the option & run the actions only on the selected folders. Then click on "Specify an advanced filter". A filter dialogue will be displayed. To set filter parameters click on "Create filter using filter genie".

Select on which field you want to filter i.e."Subject", then select from the filtering criteria options i.e."equals", and then go to the "Value" drop down on the right and write the value you want to use or double click on it.

Once you have downloaded your emails - to link an email to a complaint just go to “Emails” tab and click on “Link emails to complaint” button.

All your downloaded emails will be displayed, just scroll to the email that you want to link to the complaint and select the complaint ref number. Click "save".

To view a list of emails linked to a particular complaint, go to "Emails Tab" and click on "View linked emails" button.

To view a list of emails linked to a particular complaint, go to "Emails Tab" and click on "View linked emails" button. Once finished logging complaint details click on "save".

To search for a particular complaint, go to "QA/Technical Section" and enter the complaint reference number, then click "OK".

To search for a selection of complaints matching a selection of criteria, go to "QA/Technical Section" and click on "Browse complaints". Select the dates you want to retrieve complaints and then multi select sites, products etc... Click "OK". Complaints matching the criteria previously entered will appear.

To add new items to those lists go to "QA/Technical Section" and click on the relevant button from the "update details section". An entry form will be displayed. When finished, click on the "save" icon and then click "Go back to Main Menu".

Innovate CIMS has two built in chart reports. In order to view any of the chart reports go to QA/Technical Section menu and select the chart report type that you want to view by clicking on the relevant button.

To show complaints by type in a month click on the "Complaints by type in a month". Then select the site and the month.

Once the parameters for the chart have been entered the "Monthly Complaints-by type" chart will appear. To close the dialogue click on the close icon on the top right.

To view the "Complaints by Product" chart report, go to "QA/Technical Section" menu, click on the "Complaints by product" button. Enter the values for "Date open from" and "Date open until", click "OK".

To Browse quality KPI records, go to QA/Technical Section and click on the "QKPI" button. To open an individual record, double click on the row.

To Browse "Risk Rating per site" records, go to QA/Technical Section and click on the "Risk Rating per site" button. To open an individual record just double click on the row.

To generate a PDF version of "Quality KPI" records, go to QA/Technical Section and click on the "QKPI" button, located in the reports section.

To export to Excel or Word the PDF version of "Quality KPI" records, click on the excel or word icon in the save to file section.

To email the report in Excel, Word or PDF format of "Quality KPI" records, click on the excel or word icon in the save to file section. Then in the display window, click on "send".
